Learn how to send instant notifications during critical situations by using the Envoy Dashboard.

Overview

After enabling Emergency notifications, global and location admins will be able to send emergency notifications on web or Envoy mobile. Global admins can send emergency notifications to any location, while location admins will only be able to send them for the locations they are admins of.

To ensure that your visitors receive your SMS emergency notice, please ensure that we have their phone numbers on file. No SMS will be sent if we do not have their number.

  • Visitors: Require visitors to provide their phone numbers during registration. Learn here on how to update your visitor sign in flow.

How to send an Emergency notification

Before sending an emergency notification, the feature must be enabled at the location where it is to be sent. Learn more here.

  1. Navigate to Communications > Message log. The message logs list all emergency notifications sent at this location from any admin or device.

  2. Click on Send new message in the upper right-hand side.

  3. The message window will open. Type in your Message and Message title (optional). Messages are limited to 320 characters.

    Tip: Select an incident template to automatically populate the message.

  4. Select your Delivery method(s). Choose from SMS and/or email.

  5. Select the visitor(s)

    1. Visitors signed in: All visitors currently checked in via Envoy Visitors

    2. Visitors invited but not signed in: All visitors invited, but have not checked in via the Kiosk or Dashboard. This is a great way to ensure visitors en route to your workplace stay informed.

    3. Visitors signed out: Visitors who have been signed-in but have signed out.

  6. Decide if the message is a Critical or priority message. If this is an Emergency situation, make sure to check this option!

    1. Ask recipients to mark as safe, which allows recipients to mark themselves as safe or acknowledge receipt. You can only ask recipients to mark themselves as safe if the message is marked as critical or priority. Learn more about marking as safe.

  7. Once you've finished setting up your message, click Send now.

The Message log will now show the newly sent notification. Clicking on the notification text will pull up more details, like the sent status and whether or not they have marked themselves as safe (if applied). This allows admins to view real-time data about the individuals in your building.

  • Visitors

All statuses

  • Not marked as safe

  • Marked as safe

  • Not sent

  • Sent
