Benefits of the Global analytics dashboard

The Global analytics dashboard can help you make smarter, more data-driven decisions about your workplace.

  • Identify gaps in security and opportunities to optimize your visitor policies and sign-in procedures

  • See patterns in visitor traffic to help inform staffing, purchasing, and business decisions across all locations

  • See a multitude of different chats comparing how each location stacks up in usage

  • Arm your team and higher-ups with insights that can help them make better decisions

How the Global analytics dashboard works

  1. Navigate to the top left side of your dashboard and select Global overview from the location picker.

  2. You can choose to change the time frame you want to view analytics for (click the time frame at the top right and from there use the calendar to select the date range) or choose from any of our pre-set options:
    • Today
    • Past 7 days
    • Past 30 days
    • Past 60 days
    • Past 90 days
    • Current month
    • Current year
    • All time

Different tables and how to read them

Header

  • Visitors - The total number of visitors for the time frame selected

  • Invites - The total number of invites for the time frame selected

  • Hosts - The number of times a visit had a host in the time frame selected

Actual arrivals by location

This graph shows the number of checked-in visitors across locations, divided by color. You can hover over a specific bar to view details.

Activity

This graph shows the different statuses of visitors:

  • Walk ins: Visitors who were not invited and simply showed up and checked in on the iPad.

  • No shows: Visitors who were invited but did not check in.

  • Registered arrivals: Visitors who were invited by an employee.

  • Capacity: The total capacity across all locations.

Location data

This chart shows detailed information on average daily visits, the most common types of visitors, the busiest hour, busiest day, and median sign-in time. Only one line is provided per location, but you can view more specific location data by navigating to that location's Visitors analytics page.

Sign ins by type

There are various methods that visitors or employees can sign into Envoy.

  • Dashboard: Number of people signed in by an Admin using the dashboard

  • iPad: Number of people signed in using the Visitors Kiosk app on the iPad

  • Mobile: Number of people signed in using Envoy Mobile

  • Web: Number of people signed in using touch-less sign-in for Visitors

Sign out rates

The percentage of signed-out visitors and employees for the time frame selected. If visitors are not signing out, you can look into enabling automatic sign-out.

Most frequent visitors

Who has visited your offices the most (matched via email) in the selected time frame.

Most frequent hosts

The Employees who have hosted the most visitors and which visitor types are the most common for them to be a host of. We will also display how many visitors they have invited vs. how many total visitors they have had.

Block list matches

This table will list out any block list matches for any location and their reason for being blocked.

Create and share Visitors data within a scheduled report

Overview of Reports

  • Envoy visitors data can help you make smarter decisions about staffing, scheduling, real estate, and more.

  • With these features, you will be able to embed visual charts or send CSV reports of Envoy Visitors data to others on a set schedule.

  • Enterprise Customers can create unlimited reports. Premium customers are allowed 3 reports at a time.

How to create a new report:

Step by step instructions:

  1. Navigate to your Envoy Dashboard

  2. Click on Global Overview under the drop down menu (top left)

  3. Click on Analytics > Visitors > Reports > Create new report

  4. Customize the report to your specifications:

    1. Name the report

    2. Enter an email address you would like the report to be sent to

    3. Set the date, time you would like the report to be sent and how often you would like to get the report

    4. Select which locations you would like to get the reports for

    5. Select the date ranges you would like to have included in the report

    6. Select Embedded or CSV for the Type

      1. For CSV select CSV Export Data and select Custom Fields

    7. Deselect any checkboxes you don't want to export

    8. Enter a message to describe the report (optional)

    9. Save report by clicking “Save report”

      1. You can also send yourself a test report by clicking “send test to me” before saving it.

  5. You should then receive emails with Visitor data at the selected time.

FAQ

  • Embedded reports contain visual data, a link that takes you to the Analytics Dashboard and a CSV version of the data shown in the email for download.

  • CSV Reports contain a CSV file with granular data such as visits and invites for download:

How to update reports

  1. Click on Global Overview under the drop down menu (top left).

  2. Click on the report you would like to update or edit.

  3. Make your changes as needed.

  4. Hit Save report.

How to delete reports

  1. Click on Global Overview under the drop down menu (top left).

  2. Click on the name of the report you would like to delete.

  3. Click Delete on the left side of the pop-up.
