How Envoy billing works
You’ll need to pay for a subscription per enabled Visitors location, and you can subscribe monthly or annually. An annual subscription is paid upfront for a year and costs 17% less than if you were to subscribe monthly for a whole year. Whether you pay monthly or annually, your Envoy subscription starts date your invoice is sent. This date is referred to as your renewal date.
Paying for multiple locations
If you are planning to use Envoy Visitors in multiple offices, you'll need to purchase a license for each Visitors location. All locations under the same account must be on the same plan, payment method and billing cycle. We do not offer location-based billing. Here’s how it works:
If you add a new Visitors license today, Envoy will automatically check your renewal date and calculate the amount of time between today and your renewal date. You will be charged a prorated amount for the time for your new licensed location. Then, on your renewal date, you will be billed in full for all licenses.
Billing Example
Glacier subscribes to one Visitor Premium license on annual billing ($329 per location/month = $3,948 per year) on January 1, 2023. This means their renewal date is January 1.
On July 1, 2023, they add a second Visitors license for a new location. On that day, they’re billed $1,974 for the prorated amount to cover July 1, 2023 - December 31, 2024.
On January 1, 2024, they will be billed for two Visitors Premium annual subscriptions ($3948 x 2 licenses = $7,896). Unless they add any new licenses, they will not be billed again until January 1, 2025.
How do you define a location?
A location can be defined as a physical office space or even a separate entrance within the same building. With Envoy Visitors, each location is required to have its own license.
For most customers, a “location” is defined as a physical office location. For example, if a company has several offices worldwide, they would set up one Envoy Visitors license for each office.
Envoy can be set up in a variety of ways to best fit your workplace needs. For instance, you can have licenses for each entrance of a building or for every building within a central campus. Each license would apply to a specific location, which you can assign different admins to, and track visitors separately from other locations.
For each location, you would typically need to order the associated hardware, i.e. iPad and badge printer and iPad stand.
Each location has its own separate visitor log. This dashboard is the real-time record of who’s in the building. At a glance, you can easily access any necessary information about a visitor, including what time they signed in or out and more. It can be easily searched or exported to provide backup in the case of an emergency or compliance audit.
If you need to ensure that data from different offices, entrances, or buildings doesn’t blend together, then it’s best to create a new location for each one.
What hardware can be used at one location?
On Basic, Standard and Premium plans, you can pair unlimited iPads per location. Having multiple iPads at one location can improve the sign-in experience because multiple visitors can sign in simultaneously versus queuing up and waiting to sign in. No matter which iPad a visitor uses to sign in, their details will appear on that location’s dashboard.
If you’re using badge printing on a Standard or Premium plan, you can use one badge printer per location. Even if you use multiple iPads, all visitor badges will print from the same printer.

What if I no longer need a location?
When you deactivate a Visitors location, you can use that license at another location. Deactivating a location does NOT remove a license from your billing. Please contact us to make changes to your subscription.
