How host notifications work
To alert employees when their visitor arrives, Envoy needs to “know” two pieces of information: First, which employee is the visitor meeting? And second, what is that employee’s contact information?
When the visitor signs in, the visitor will type the employee’s name in the host field. Then, Envoy will locate the employee’s contact information in the directory and send the host notification.
Tip: As an Envoy administrator, you will need to populate the directory before starting to use host notifications. Learn more about populating your directory.
Benefits of host notifications
Save the time it takes to call or track down employees when their visitors arrive.
Photos appear in host notifications, so it’s easy to know which visitor to greet in the lobby.
Employees can choose their preferred notification methods.
Notifying multiple hosts
Available on Premium & Enterprise plans
If the invite has multiple hosts, all hosts will receive notifications when the visitor arrives.
Custom host notification text
Available on Premium & Enterprise plans
It’s easy to customize the text that appears in host notifications. You can add custom variables to automatically populate the host’s name, visitor’s name, your company, and location names.
You also have the option to create custom notification text based on if the visitor is alone or with a group. This can be helpful if the number of visitors changes where they’ll meet up with their host.
You can customize the notification text that assistants and fallback contacts receive, too. This allows you to provide more detailed greeting instructions for cases where the host may not be the person greeting the visitor.
